Job Description

Yes& is seeking an organized and detail-oriented  Events Coordinator  to support the successful planning and execution of client events. In this role, you’ll provide essential logistical, administrative, and operational support across all phases of the event lifecycle. You'll work closely with internal teams, vendors, and clients to ensure deadlines are met, communications are clear, and every event runs smoothly—from pre-event planning to post-event wrap-up.

This position offers hands-on experience with events ranging from 250 to 1,000 attendees, typically 6-8 events annually, with additional opportunities to collaborate on events across various industries. Key Responsibilities: Event Support & Client Coordination

  • Assist event leads in organizing and executing events that align with client goals and timelines.
  • Respond to client and attendee inquiries; direct complex questions to appropriate team members.
  • Maintain clear and consistent communication with clients and stakeholders to ensure alignment on deliverables and timelines.
  • Support client deliverables such as meeting schedules, speaker coordination, and content tracking.

Administrative & Logistical Operations

  • Manage and update event tracking documents, timelines, and task lists to ensure project accuracy and accountability.
  • Monitor event budgets in collaboration with event leads to ensure alignment with estimates.
  • Coordinate participant travel, hotel accommodations, and other logistical details as required.

Speaker & Vendor Coordination

  • Lead speaker outreach and communication from invitation through confirmation.
  • Serve as the liaison for creative and marketing requests; support development of event communications and collateral in collaboration with internal teams.

Pre-Event & On-Site Execution

  • Prepare and ship materials to event sites; maintain organized inventory and storage.
  • Oversee day-of registration logistics and ensure attendee records are complete and accurate.
  • Support on-site event execution and address logistical needs in real time.
  • Assist with post-event tasks, including reporting, follow-ups, and debriefs.

Required Skills & Experience

  • Bachelor’s degree required; degree in hospitality, event management, communications, or marketing preferred.
  • At least 1 year of professional experience, ideally in events, customer service, or project coordination.
  • A strong interest in events, with a proactive mindset and willingness to learn.
  • Excellent time management, organizational, and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with event registration systems is a plus.
