Overview

North Smithfield Fence provides high-quality fencing solutions to residential and commercial clients in Rhode Island and Massachusetts. As we continue to grow, we are seeking a highly organized and detail-oriented Office Manager to deliver exceptional administrative support and ensure a welcoming environment for our staff and customers alike.

The successful candidate will be responsible for managing front desk operations and handling administrative tasks, including answering phones, keeping records organized in our business management software, and overseeing the daily administrative operations of the company.

Responsibilities:

Customer Communication:

  • Be first-line of defense for incoming calls and walk-in customers.
  • Manage communications with current customers.
  • Schedule customers who call or email us for an estimate.
  • Conduct follow-up calls with new leads and customers to discuss estimates and confirm details.
  • Manage company email inbox daily, responding promptly to inquiries.

Organization:

  • Keep customer and job records organized and updated in our software.
  • Maintain a clean and orderly office workspace.
  • Help monitor and update the status of projects, identifying which jobs are in progress, upcoming, or experiencing delays.
  • Help the Project Manager coordinate and verify the daily schedules of installers, ensuring clarity on their assignments and the necessary materials for each location.
  • Assist in developing SOPs for operations, estimating, ordering, and scheduling to enhance workflow and consistency.
  • Keep comprehensive job/project files, including records of deposits, final invoices, and documentation after final payment, both digitally and in physical folders.

AR/AP:

  • Oversee ordering of office supplies.
  • Support ordering of materials and job supplies.
  • Enter vendor bills into QuickBooks Online and maintain organized records of vendor paperwork.
  • Monitor and record customer deposits and outstanding balances to ensure accurate financial tracking.

Requirements:

  • Proactive and determined approach to work. Attitude is more important than experience.
  • Experience in fence industry or other construction/trade field helpful but not required for right person.
  • Proficiency in Google Suite (Docs, Sheets, Drive).
  • Proactively avoid and resolve customer complaints/concerns.
  • Strong organizational and time management skills.

Hours: Monday-Friday, 9:00 am - 5:00 pm

This job is seasonal. We tend to operate from April 1 to December 15 each year.

Exact timing may adjust based on weather, which dictates the start and end of the season.
